Which of these would you trust more with a €5,000 project: [email protected] or [email protected]? The answer is obvious — and that instinct is the whole point. A professional email, meaning an address on your own domain, is the cheapest credibility upgrade a business can make. It is not about looking fancy. It is about being trusted at the exact moment someone decides whether to hand you their money.
Why a Gmail address quietly loses you work
When your quote lands from a @gmail.com or @hotmail.com address, the reader gets an unspoken signal: this person does not even have a proper setup. In a market that runs on referrals and first impressions, that is often enough to knock you out of the running before anyone reads a word. A domain address does the opposite:
- Trust: it reads as an organised business, not a side hustle. On quotes, invoices and contracts, that small detail carries more weight than most people realise.
- Free advertising on every message: every email you send reminds the recipient of your company name and website. It is branding you get for nothing, on every send.
- Control: the account belongs to the business, not the employee. Someone leaves? The mailbox and every contact stay with you. With a personal Gmail, the departing employee walks off with your customers.
- Structure: info@, sales@, accounts@ — a separate mailbox for each role, so personal and business stop bleeding into one inbox.
How it actually works
There are two simple pieces behind a professional email. The first is your domain — the @yourcompany.gr part. If you already have a website, you already own the domain; it is the same address, just with a username placed in front of it. The second piece is the mailbox: the space where your messages live and from which you send and receive. That mailbox is hosted by an email provider, and here you essentially have two roads:
- Email inside your hosting (hosting mail): almost every website hosting plan bundles email. It is the cheapest option, perfectly fine for modest needs, with a basic webmail and easy setup on your phone.
- Google Workspace or Microsoft 365: the grown-up platforms. Beyond email you get a shared calendar, video calls, shared files (Drive/OneDrive), generous storage and stronger spam protection. If you work as a team or lean heavily on email, the difference is worth paying for.
The practical rule: for two or three people with simple needs, hosting mail is plenty. A team that runs on calendars, shared documents and a heavy flow of messages wants Workspace or 365.
Want professional email set up properly?
We handle the domain, the mailboxes, and the technical bits (SPF/DKIM/DMARC) so you stay out of the spam folder — all wired into your website. Ask us for a quote for your business.
Request a quote →The invisible part: staying out of spam
This is where most quick fixes fall apart. Creating the mailbox is not enough — the rest of the internet also has to be convinced that mail leaving your domain is genuine. Three small settings on your domain do that job. You configure them once, and from then on they work silently in the background:
- SPF: a list that says “these servers are allowed to send email on my behalf.” Anything coming from elsewhere is treated as suspect.
- DKIM: a digital seal stamped on every message, proving it really came from you and was not tampered with along the way.
- DMARC: the rule that tells recipients what to do when something does not match — reject it or drop it into spam.
Without these, even a perfectly legitimate email often lands in the recipient's junk folder — and worse, you never find out. You simply assume the customer “never replied.” That is why these settings are not a luxury; they are the price of admission for your mail being read at all.
What it costs
Less than you would expect. Email included with your hosting plan costs essentially nothing extra — it is already part of your website subscription. The full platforms run at roughly €5–€12 per user per month (Google Workspace, Microsoft 365). For a small business with two or three accounts, that is the cost of one coffee a week — negligible next to what it saves you in lost credibility and lost customers.
Frequently asked questions
Do I need to change my phone or internet provider? No — professional email is completely independent. It works on any phone, computer and network you like.
Will I lose my old Gmail messages? No. We can migrate them, or you simply leave the old account dormant. From now on, though, you send from the new one.
Is it hard to set up on my phone? No — it takes about five minutes, and we can do it for you. After that you reply from anywhere, with your business name and signature on every message.
One of the most common mistakes? Replying from a personal Gmail because switching feels like a hassle. Set the professional address up everywhere once — and never go back.
