Let's start with something the vendors rarely admit: most “chatbots” you see online are just a button that opens a form, or a rigid “press 1 for opening hours” menu. A modern AI chatbot is a different animal — it understands natural language, answers from your own data, and holds a conversation like a person. But not every business needs one. Let's look honestly at when it's worth it, what it actually does, and — just as important — what it does not.
Try it yourself — tap the questions and see how an AI assistant answers and books an appointment, 24/7:

The test isn't “AI is trendy.” It's much simpler: are you fielding the same questions over and over? If so, a chatbot buys back hours. The clearest cases:
- Repeat questions (FAQ): hours, prices, availability, “where are you?”, “do you deliver?”, “are pets allowed?” — answered instantly and accurately, without wearing you down.
- Appointments & bookings: a clinic, salon, garage or restaurant — the customer books themselves, even at 11pm, with no phone tag.
- E-shop support: “where's my order?”, “will this size fit?”, “what's your return policy?” — plus steering shoppers to the right product in a large catalogue.
- After hours: 40–60% of messages arrive when the office is closed. The customer wants an answer now, not tomorrow morning — otherwise they move to the next business.
- Lead capture: the assistant collects a name, a phone number and exactly what the customer needs, and hands it to you ready — a warm lead instead of a lost visit.
- Multilingual: running a hotel or tourism business? The same assistant replies in English, Greek, German and whatever else you need — automatically, with no extra staff.
When you do NOT need one
Just as important. If you handle a small number of bespoke, high-touch requests — a consultant closing deals over the phone, say, or a lawyer with complex cases — a chatbot can get in the way and push people off rather than serve them. The tool serves the goal, not the other way around. We never add a chatbot just because everyone else has one.
What it can — and cannot — do
This is where serious work parts ways with marketing hype. Plainly:
- It can: answer common questions from your own data, capture contact details, guide people to products, book appointments, work 24/7 in multiple languages, and hand a request to a human when needed.
- It cannot (and should not): fully replace a person on sensitive, legal or emotional matters. A well-built chatbot knows when to say “let me connect you with a colleague” — that's a feature, not a flaw.
- Watch out for “hallucinations”: a poorly built AI invents answers. Our job is to constrain it to only the information you provide, so it never states something that isn't true for your business.
How it's built properly — step by step
A chatbot is only as good as the information you feed it and how well it knows its own limits. The process we follow:
- Your 10 most common questions. We start with what your customers already ask every day. That covers roughly 80% of the value from day one.
- Feeding it your data. Price list, hours, policies, common queries — everything that makes the assistant yours rather than a generic ChatGPT.
- Limits & human handoff. We define what it does not answer on its own, and when it passes the conversation to you.
- Wiring it into your site & tools. Appointment calendar, forms, email — so the conversation turns into action, not just words.
- Testing & improving. We watch the real questions customers ask and keep making it smarter.
Cost & effort
A chatbot isn't a switch you flip on. Building a serious AI assistant tailored to your business takes a few days of work to feed and wire it up, then a small monthly cost to run and refine it. If it saves you even 1–2 hours of phone calls a day, it pays for itself quickly — and it keeps working while you sleep. A chatbot is one piece of a bigger picture; see what we build, or tell uswhich questions you get asked most and we'll show you exactly how it would look. Back to the homepage for the full picture.
Frequently asked questions
Will it sound like a robot or a human?Like a human — in the tone and style we set together, in the customer's language.
What if it doesn't know the answer?A proper setup says honestly “I don't know that, let me connect you with a colleague” rather than inventing one. That builds trust.
Will it replace my staff? No — it takes the repetitive load so your people can focus on what genuinely needs a human.
I'm not technical — will I get stuck? No. We set it up, wire it in and maintain it; you just watch the questions answer themselves.
